How to approve content updates in Mavim iMprove?

As Approver in Mavim iMprove, modifications to topic names, descriptions, or metadata fields are reviewed by you to maintain accuracy.

This guide walks you through the steps of reviewing changes done by Contributors in Mavim iMprove


Why Content Approval?

The content approval functionality is a powerful tool that allows organizations to engage a broader range of business users by providing greater control over how content in Mavim is edited. This ensures that while contributions are encouraged from various users, the final content remains accurate and consistent. The Approver plays the important role of gatekeeper for changes made by various business users, Contributors.


How to Review content changes

You will be assigned as Approver for certain content in Mavim by your Administrator. This means that changes made to this content by Contributors will first need to be verified by you before the changes are implemented. You can either approve or reject changes and you will be able to explain why with comments.

You also find an overview of all outstanding and past requests in the Approval Dashboard under settings  

Review changes

When you select one of the approval requests you are taken to the relevant topic and will find the 2 panels. The previous details of the topic on the left, the changes for which your approval is requested on the right. The red and green boxes indicate the elements in which changes have been made. This makes it easy for you to determine what the changes are and whether you approve.

Approve or Reject changes

When you select Approve, the changes will be effected in the database and your work is done. The Approval request will get status approved and will be stored in the Approver Dashboard for future reference.

When you Reject, you are asked to explain to the Contributor why you have rejected the change so that they can take appropriate action.

Rejecting a change will require the Contributor to actively follow up and roll back the changes or update such that you will approve of the change. Keep in mind that rejecting causes extra work. In cases where you do agree with the change but find it incomplete, you may be better off approving the change anyway and starting a conversation with the Contributor on how things can be even better.
