How to format paragraphs in the Description screen

Users editing content in the Description screen who want to structure and format text using paragraph settings.

To explain how to create and customize paragraphs in the Description screen, including alignment, indentation, spacing, and page breaks.
Key steps to include
Create a paragraph
- Press Enter to insert a hard return and start a new paragraph.
- To view formatting symbols (like paragraph marks), click ¶ on the Description toolbar or go to View > Description Screen Options > Options > ¶ Show/Hide.
Open paragraph settings
- Place your cursor in the paragraph you want to format, or select multiple paragraphs.
- Right-click and choose Paragraph from the context menu.
Some paragraph settings are also available on the Description toolbar. These are marked with an asterisk (*) below.
Indents and spacing tab
- Alignment*: Set horizontal alignment (left, center, right, justify).
- Outline level: Assign an outline level for structured documents.
- Indentation:
- Left / Right: Set margins from the left or right edge.
- Special / By: Indent the first line of the paragraph.
- Spacing*:
- Before / After: Add vertical space before or after the paragraph.
- Line spacing / At: Choose spacing between lines (single, 1.5, double).
Line and page breaks tab
- Keep lines together: Prevent automatic page breaks within a paragraph.
- Page break before: Force a page break before the selected paragraph.
Important notes
- Paragraph formatting helps improve readability and layout consistency.
- Use ¶ Show/Hide to reveal hidden formatting and troubleshoot layout issues.
- Toolbar shortcuts offer quick access to common paragraph settings.
