How to Publish to a Word document using Mavim Manager

Target audience:

Mavim users who need to create manuals or documentation from topics in the topic tree.

Purpose:

Guide users through generating a manual in Word format using Mavim, including theme selection and configuration options.

Steps to generate a manual

1. Select the topic

  • In the Topic Tree, choose the topic that contains the information you want to print.

2. Open the publication settings

  • Go to File > Publication > Word Document.
  • The Word Publication window will appear.

3. Choose the starting topic

  • If needed, select a different topic in the Print Topic field to define where the print job should start.

4. Select a theme

  • In the Theme field, choose a theme for your manual.
  • You can use an existing theme or create a new one.
  • Important: Printing without a theme is not possible.

Theme types:

  • Theme in Paragraphs Format – for handbooks.
  • Theme in Columns Format – for work instructions.
Choose the format that suits your needs.

5. Configure print data

  • Title: Default is the name of the starting topic. You can change this before printing.
  • Version: If printing a distribution compartment (or part of it), the Name and Number fields cannot be manually changed.
  • Status: Set by the user (e.g., “Definitive” or “For evaluation”).
  • Extra Fields: Up to 4 additional fields can be defined in the theme. If a field is not named in the theme, it will not appear in the Word template.
    See also: Edit Word Template.

6. Check Visio chart consistency

  • If you select Check Automatically, Visio diagrams included in the manual will be checked for consistency.

7. Generate the manual

  • Click OK.
  • Enter a file name and choose a storage location in the Save dialog box.
  • After generation, you can browse to the file location.
Note:
  • The Browse button is only available when working locally with Mavim Manager.
  • In the cloud environment, the Browse button and the text “Click on Browse to open the file location in the explorer” are not visible.

Important notes

  • A theme is mandatory for printing.
  • Choose the correct theme format based on the type of manual.
  • Visio charts can be automatically checked for consistency.
