How to use Find and Replace for topics
Target audience:
Users managing large sets of topics who need to locate or update specific text across multiple fields.
Core purpose:
To guide users through using the Find and Replace functions to search for and update topic content efficiently.
Find function
Use Find to search for specific words in topic names, descriptions, codes, keys, or fields.
Start the Find function
- Select any topic in the Topics screen.
- Go to the Edit tab or use the context menu.
- Click Find.
- Or press CTRL+F to open it directly.
Search window sections
The window has three collapsible sections:
- Name and location
- Advanced
- Search results
Fill in search criteria
Name and location:
- Name: Enter the word(s) to search.
- Location: Choose where in the topic tree to search.
- Exact phrase: Match the exact text.
- Including subtopics: Include subtopics in the search.
Advanced options:
- Search in Name
- Search in Code
- Search in Description
- Search in Key
- Search in Fields (field name, field set name, field value)
- All Topics
- Topics Modified (filter by date range)
View results
- Click the arrow next to the Name field to start.
- Results appear under Search Results:
- Name: Topic name.
- Path: Location in the tree.
- Double-click a result to open the topic in the Topics screen.
Replace function
Use Replace to update text found using the Find function. You cannot change the topic key.
Start the Replace function
- Select any topic in the Topics screen.
- Go to the Edit tab or use the context menu.
- Click Replace.
- Or press CTRL+H to open it directly.
Replace window sections
Same layout as the Find window:
- Name and location
- Advanced
Fill in replace criteria
Name and location:
- Replace by: Enter the new text to replace the found text.
Advanced:
- Same options as Find.
- Note: You cannot replace text in the topic key.
Execute replace
- Click the arrow next to the Replace with field.
- When a match is found, choose:
- Replace: Update current match and move to next.
- Replace all: Update all matches.
- Find next: Skip current match.
- Cancel: Stop the operation.
Important notes
- You can’t replace text in the topic key.
- Use Find first to preview matches before replacing.
- Always double-check your criteria before using Replace all.
