Office365 - how does it work? Question : See the screenshot below in which -- KA-01610
Question: See the screenshot below in which 2 versions have been published from the Portal to SharePoint; but in SharePoint there are 4 versions available. Also; the links made in previous MAVIM versions are not included in the new Mavim publication; so when a new version is published we have to relink everything.
Answer: When a version has been published from the Mavim Manager to the Portal; it is not immediately available on SharePoint; you must then also publish the version to the taxonomy on your SharePoint environment via the Office 365 tab on the Portal.
Once this is done; you can make the connections to this publication.
For example; if you have published 'Processes Final 7011'; you must relate to the taxonomy once. When you have done this and you publish 'Processes Final 7012' to the Portal; the relations will automatically be set to the same elements in this new version. (Even if you do not publish 'Processes Final 7012' to the taxonomy on your Sharepoint environment).
If there are new elements added in this version to which you would like to connect; you must publish 'Processes Final 7012' to the taxonomy on your Sharepoint environment.
If a completely new version (a new version definition has been created in the Mavim Manager) is published and; for example; you have related to 'Processes Final 7011' and then publish 'Processes Final 8001'; then that is a completely new publication (version 7xxx and version 8xxx) in that case the relations are not automatically set to the new version and you must set the relations again. It is therefore important to continue with the already linked version (in this example 'Processes Final 7011' - 'Processes Final 7012' - 'Processes Final 7013' etc).
When you delete a version of the Portal; it is not automatically deleted from the SharePoint environment. For example; if you have published and linked 'Processes Final 7011' in the taxonomy of your SP environment and you delete the version on the Portal; the associated tree structure will not be automatically removed from SharePoint. You must therefore maintain the taxonomy on your SharePoint environment yourself (see the next instruction on how to maintain the taxonomy on your SharePoint - https://my.mavim.com/en-US/knowledge-base/article/KA-01611 ).
