Import - Import Word Document
A topic structure (a hierarchy of topics including their descriptions) in a Word document can be imported into the Topics screen.
Before a Word document can be imported, it has to be given the correct layout.
Word document layout:
The import function works with heading definitions that are available in Word under layout Heading 1, Heading 2 etc. Every heading name will become a topic in the topic tree and the text underneath the heading will become its description.
Note: The import function actually uses the Outline level of the text in Word (accessible via
Format > Paragraph). Heading 1 should have Level 1, Heading 2 Level 2, text for in the Description screen Body text etc.
Example of a Word document and the import result:
Note: For Mavim to be able to properly interpret the topic structure, it is important that there are no page breaks in the heading definitions and that information (e.g. tables) is not placed outside the margins.
Import Word document:
To import a Word document, you first have to select a Word template. The layout settings of the template will be used when importing:
1. Select the Tools tab followed by Options.
2. The Options window appears with the File Locations tab.
3. Click Microsoft Word Template for Import.
4. Click Modify to select templates from the right location.
Note: When no template has been selected, you will be notified upon import, and the default Word template will be used.
After having selected a template, a Word document can be imported:
1. Select the Modelling tab followed by Word Document in the Import group.
2. In the window that opens, select the Word document you wish to import.
3. In the window that opens, Destination of Word Import, select the topic below which you want to incorporate the imported structure.
4. A message will appear when the import has finished.
If the imported document does not begin with a heading (style in Word) you will receive the following message:
In this case, you simply need to give Mavim a name for the first topic. Any text located above the first heading in the Word document will be placed in a new topic.
Note: When importing a Word document that contains foot notes and end notes, these will be show in the description screen. However, it is not possible to add foot notes or end notes in Mavim Manager itself.
