Overview - BPMN Chart - Export to Power Automate
The Mavim Manager Visio integration supports exporting a chart to Microsoft Power Automate. This feature will only work with Visio Professional 2019 or with a subscription for Microsoft Visio Plan 2.
Exporting a BPMN chart to Power Automate gives you a basis to create a Flow within Power Automate whilst making use of existing processes.
Below you will find the steps required to make use of this feature:
Note: Once you start to export a chart to Power Automate, the Mavim functionality will be disabled. You will be working with a temporary copy of the chart during the export to Power Automate.
1. Open the desired BPMN chart from Mavim Manager
2. Once in Visio, switch to the Process tab in the ribbon
3. Click the Export button in the Microsoft Power Automate section
A new panel will open to the right.
4. Before we begin detecting the shapes you will need to make sure that the End event shape has been removed. Note that you will only be removing the End event shape from the temporary copy.
5. At the top of the right panel you will see a Refresh button. This button will need to be clicked so that Visio can detect the various shapes in your chart. Click it to detect the start of your flow:
6. Click Refresh again and you see that the next shape in the flow is selected and now has a symbol:
7. Click the icon and from the right panel you can now select the desired trigger or action. This will need to be done for each shape in the flow, each time clicking the Refresh button to progress to the next step in the flow.
8. Once all shapes have been identified they will be assigned a symbol to indicate the trigger or action that has been assigned to them:
The available triggers/actions can be defined by your company policies.
9. Once each shape has been mapped to an trigger/action, you can click the Export button at the top of the export panel. You may be prompted to resolve some issues before the export can be completed.
10. Once all issues have been resolved, you can continue with the export.
11. Once successful, a flow will be created based on your chart. A link will be available to open the flow in your browser so that you can continue to enter the appropriate information as needed.
Once you are done with the flow and have returned to Visio, you can open the context menu of the chart and select Exit Power Automate Export. This will return all Mavim functionality for the chart and you can continue to work with the chart as per normal.
Please take note of the following:
· When you start to export a chart to Power Automate, a temporary copy of the chart is created to base the Power Automate flow off of. This temporary copy has limited functionality from Mavim Manager (i.e. Name changing).
· Once the export has been started, making changes to the temporary copy of the chart will not be saved to the chart when Export mode is exited.
· For the current implementation, Stop events will need to be removed from the chart in order to export the chart to a flow. This will be improved in a future update.
