Publication - Word Theme - Editing the Word Template without Mavim Manager
In order to publish to a Word document, Word merge fields must be added to your DOTM file so that Mavim Manager knows where to insert information. Normally, a ribbon tab is added to Word when Mavim Manager is installed. This makes adding the necessary merge fields easy. Assuming you are using a cloud solution that does not have Office applications available, Mavim Manager is most likely not installed on your local machine. That being the case, you will need to create your template file with your local installation of Microsoft Word. The steps described below describe how you can add the necessary fields manually with the default Word functionality.
Merge fields are added to a Word document template as follows:
1. In Word select the Insert ribbon tab.
2. Now open the Quick Parts drop down item in the Text section and select Field.
3. In the list under Field Names, scroll down and select MergeField.
4. In the Field Name field, enter the name of the field you want to insert (see the below table for the possible fields):
Mavim Field | Field in Word |
Title | {MERGEFIELD "<Mavim_1#Title>"\* MERGEFORMAT} |
Revision Name | {MERGEFIELD "<Mavim_2_0#Revision Name>"\*MERGEFORMAT} |
Major Revision Number | {MERGEFIELD "<Mavim_2_1#Major Revision Number>"\*MERGEFORMAT} |
Minor Revision Number | {MERGEFIELD "<Mavim_2_2#Minor Revision Number>"\*MERGEFORMAT} |
Status | {MERGEFIELD "<Mavim_2_3#Status>"\*MERGEFORMAT} |
Username | {MERGEFIELD "<Mavim_3#Username>"\*MERGEFORMAT} |
System Username | {MERGEFIELD "<Mavim_4#System Username>"\*MERGEFORMAT} |
Date Version | {MERGEFIELD "<Mavim_5#Date Version>"\*MERGEFORMAT} |
Title of Supertopic | {MERGEFIELD "<Mavim_6#Title of Supertopic>"\*MERGEFORMAT} |
Path of Title | {MERGEFIELD "<Mavim_7#Path of Title>"\*MERGEFORMAT} |
Database Name | {MERGEFIELD "<Mavim_8#Database Name>"\*MERGEFORMAT} |
Self defined field 1 | {MERGEFIELD "<Mavim_9_0#Self defined field 1>"\*MERGEFORMAT} |
Self defined field 2 | {MERGEFIELD "<Mavim_9_1#Self defined field 2>"\*MERGEFORMAT} |
Self defined field 3 | {MERGEFIELD "<Mavim_9_2#Self defined field 3>"\*MERGEFORMAT} |
Self defined field 4 | {MERGEFIELD "<Mavim_9_3#Self defined field 4>"\*MERGEFORMAT} |
(For example, use <Mavim_1#Title> to indicate the position of the title to be filled in by Mavim Manager)
5. Now click OK.
The merge field has now been inserted into the Word document template and will work with any Mavim Word publication.
6. The last step is to add a bookmark to your Word Template so that Mavim Manager knows where to start inserting content. Follow these steps to do this:
1. In the Word Template, select the Insert ribbon tab
2. Now select Bookmark
3. Click Add and name the Bookmark: MavimStartPos
Wherever this bookmark is placed, Mavim Manager will insert the content.
