Steps to Set Up Ownership for Flows

Ownership-based Flow setup in Mavim.

Follow the next steps:

  • Create a New Field in Mavim Manager

    • Go to Administration → Field Administration.

    • Click the ‘New’ icon under available fields.

    • Give the field a name, for example, Process Owner.

    • Choose the Type of field: Text, List, or Relation List, depending on the input value.
    • Set Usage to ‘Owner for Mavim Portal’.

  • Add the Field to a Field Set

    • Add the newly created field to a desired field set so it becomes visible and editable.

  • Important Rules for Ownership

    • Only one field per subject can be marked as ‘Owner for Mavim Portal’.

    • It is not possible to assign multiple owners to a single subject.

    • The value you enter (e.g., helpdesk@mavim.com) must exactly match the UPN in Mavim Portal (checkable via Mavim Portal Administration → Users).

  • Recognition of Ownership in Mavim Portal

    • If an owner is correctly set, a ‘user’ icon appears next to the subject/process.

    • Flows can then be automatically executed based on this ownership.

    • Email notifications only work if the Email column is populated.
