How to use the table toolbars in the Description screen

Target audience:
Users working with tables in the Description screen who want to format, style, and manage tables efficiently.

Core purpose:
To explain the functions of the Table Design and Table Layout toolbars, helping users format tables quickly and accurately.


Accessing the table toolbars

To show or hide the table toolbars:

  1. Right-click on the Description screen toolbars.
  2. Enable the Table Design and Table Layout toolbars as needed.

Table Design toolbar

Use this toolbar to apply visual styles and formatting to your table.

Special formatting options

  • Header Row – Apply special formatting to the first row.
  • Total Row – Format the last row for totals or summaries.
  • Banded Rows – Alternate row shading for readability.
  • First Column – Highlight the first column.
  • Last Column – Highlight the last column.
  • Banded Columns – Alternate column shading.

Styling tools

  • Quick Styles – Apply predefined table styles.
  • Line Style – Choose border line types.
  • Line Weight – Set border thickness.
  • Pen Color – Change border color.
  • Borders – Select which borders to apply.
  • Shading – Apply background color to selected cells.
  • Borders and Shading – Open full border and shading settings.

Table Layout toolbar

Use this toolbar to manage table structure and cell alignment.

Structure and selection

  • Select – Choose Cell, Column, Row, or Table.
  • Gridlines – Toggle gridlines (useful when borders are off).
  • Properties – Open the Table Properties window.
  • Delete – Remove Cells, Columns, Rows, or the entire Table.

Insert options

  • Insert Above/Below – Add rows above or below.
  • Insert Left/Right – Add columns to the left or right.
  • Insert Cells – Choose:
    • Shift cells right
    • Shift cells down
    • Insert entire row
    • Insert entire column

Cell management

  • Merge Cells – Combine selected cells.
  • Split Cells – Divide a cell into multiple cells.
  • Split Table – Separate the selected row from the rest of the table.

AutoFit options

  • Contents – Resize table to fit content.
  • Window – Resize table to fit screen width.
  • Fixed Column Width – Lock column widths.

Text alignment

  • Align Top Left
  • Align Center Left
  • Align Bottom Left
  • Align Top Center
  • Align Center
  • Align Bottom Center
  • Align Top Right
  • Align Center Right
  • Align Bottom Right
  • Cell Margins – Adjust padding inside cells.

Important notes

  • Toolbars must be enabled manually via the Description screen toolbar settings.
  • Some formatting options may not display correctly in HTML exports (e.g., "Behind Text").
  • Use the toolbars for faster access to commonly used table features.
