Why some web forms are not visible on the Portal

When you create a new version, all web forms are selected by default. However, you might notice that some of them don’t appear on the Portal. This usually happens when the form layout hasn’t been properly configured in the Mavim Manager

Why this happens

Each web form definition in Mavim contains a layout setup that determines which fields are included in the form.
If a web form has no fields in the right-hand column of its layout, the form is not published to the Portal. In other words, only forms that include at least one active field in the right-hand column are made visible.

How to fix it

Follow these steps to make the web form visible on the Portal:

  1. In Mavim Manager, go to Tools > Web Tools > Manage Web Form Definitions.

  2. Select the web form that isn’t showing on the Portal.

  3. Click Edit layout.

  4. In the layout window, check whether the fields are listed in the right-hand column.

    • If no fields are shown there, the form will not be published.

  5. Move the required fields from the left column to the right column.

  6. Save your changes.

  7. Create a new version

  8. click on Edit and check whether the web form has been added on the tab 'Web form definitions'


     

  9. Publish this version

By default, forms are now visible on all topics in the version.

Note! On the portal, you can also configure the visibility of forms by specifying the topic types or groups for which the form should be visible. An admin on the Portal can check this on the Forms tab
