Portal - activate flows when a new version is published

Portal - activate flows when a new version is published Question: Why do I have to keep reactivating -- KA-01615

Question:
Why do I have to keep reactivating the flow?

Answer: When a flow is created on a version/publication in the Portal and is active; this flow is automatically copied to a new published version of the same definition.
However; the flow is not yet active on the newly published flow because this new publication still has the approval status.
When switching from approval to online; the flow still needs to be activated manually.

The reason why it is not automated is because of this approval cycle and keeping the flows under control.
Activation can be done as follows: On the Mavim Portal Management page; go to the Flows tab.
Select the relevant version for which you would like to enable the Flows.
Check the box for 'Run the Flows for this version'.

Also note the following points for optimal use of the flows on the Mavim portal:

- Flows are linked to a certain version. Therefore; make sure to disable the flows for the versions that are not required. For example; a latest version of the publication is available; but there is a need to still keep the old version online. (as much as possible; ensure that there is only one publication per version definition online).
- When creating flows; keep in mind to only create flows that are absolutely necessary.
- When creating flows; provide a clear use case with a trigger and output. Ambiguous flows can lead to unnecessary loops and can cause performance issues.
- When creating flows with time/date based triggers; remember to spread these triggers over time. Activating all flows at the same time can lead to memory limitations and system slowness.
- Plan the execution of the flows (triggers) for large numbers in such a way that the load is spread over a period of time.
- Flows that are active for versions that are offline will not run.
