Portal search function

Question:

Can I filter hits from the external references from the Portal search?

Answer:

Example: A version 'Processes 7002' with the following information has been created; which has been published to the Portal:

ProcessA - Relationship to EmployeeA - Field link to EmployeeA - Internal file DocumentA
ProcessB - Relationship to EmployeeB - Field link to EmployeeB - File DocumentB
ProcessC - Relationship to EmployeeC - Field link to EmployeeC - Network file DocumentC




When searching within the Mavim Portal there are several options; which are explained further below:

Click the Search button in the toolbar




and indicate what information you would like to search for.
In this example; the search area is always the specific version 'Processes 7002'; but it is also possible to search in All versions; Branch or Subject
At Version; Branch and Subject a new drop-down menu appears to make the desired selection.

The Portal Administrator can set on the Portal on the General tab; behind "Default search in" which option users are given by default:

• Descriptions - Searches topic descriptions including topic names and topic fields.

When searching in the Processes 7002 version for documentb in Descriptions:





Then 3 hits appear; in the version these are the following hits:














 

• Text - searches only the text of Topics

If now searched for documentb in Text:





Then only the hit below is found

• Topic names - Searches topic names

If I then search for DocumentB in Subject Names:






Then the following 2 hits appear:

In addition; the following options are available; these clearly indicate what is being searched for:
Chats                                                              -              Searches Charts
Matrices                                                        -              Searches Matrices
Reports                                                          -              Searches Reports
Fields                                                              -              Searches Fields of topics
Keywords on Documents                           -              Searches documents linked as a File
Keywords on External Documents           -              Searches documents linked as Network File

Note: Keywords added to topics can be searched by using one or more keywords. Multiple keywords can be separated with a space and are case sensitive.
When you link an empty file to a topic and add keywords to it; these keywords will not be found. Linked files must have content if you want to search for a keyword.
