Sp-o365 documents no longer visible in the portal Question: There are documents linked via the Office365 -- KA-01520

Question:
There are documents linked via the Office365 link to a process in SharePoint but these documents are not shown in the Mavim Portal.

Answer:
In order for SharePoint documents to appear in the Mavim Portal; they must first be tagged with a topic from the taxonomy and must be crawled and indexed by the SharePoint search engine.

Check the following: open the document library (Public Documents) in the configured SharePoint site
Select a document and check if it has a completed value in the MavimTopic field.



The example above shows that the Communicationmanagementstrategy.docx document is linked to the BPM Navigation process and is titled Business Case Template.

Click on the link to BPM Navigation and the related process should open on the Mavim Portal and there the document titled Business Case Template should be visible under SharePoint Files.




If the link does not work then it may be that an old taxonomy tree exists in SharePoint and the document is referencing an item that is no longer present in the current publication.
In this case; make sure to update the publication from the Mavim Portal to SharePoint via the Office365 tab on the Portal so that the document can be linked to the correct item again.





If you still don't see the SharePoint documents appearing in the Mavim Portal; then you could
perform a simple search in SharePoint (via the search bar).



If the documents are not found by SharePoint itself either then the problem is in SharePoint. For this; your own SharePoint administrator/IT department should check why these documents are not showing up in SharePoint.

If you have sufficient rights then you could perform another re-index of the Library and the site.
If there is no difference within 1 hour; the SharePoint administrator could submit a support ticket to Microsoft.

Note: When you link a new document to the Mavim Portal the SharePoint search engine still needs to index these documents. This can take some time (between 15 minutes and 2 days) Of course it is also important that the end user has at least read rights in SharePoint; if the end user does not have sufficient SharePoint rights; he or she cannot open SharePoint documents in the Mavim Portal.
