Fields - Fill in Field

Fields are shown separately in the Fields screen (See Fields screen). There are two columns in the screen:

· The left-hand column shows the field sets with the expanded list of fields.

· The right-hand column shows the value of the fields.

To enter the values in the fields:

1. Click the column to the right of the field name you want to enter.

2. Enter the value.

3. Press the ENTER key on the keyboard.

In the field name and field value column, you may encounter a number of specific situations:

Field Value <empty>

If you, see <empty> in the field value position, then the field has not yet been defined. Note that a field that does not seem to contain a value actually contains a text of 0 characters.

* Beside Field Name

If you see a * beside a field name this means that it is a mandatory field. If creating a version, the mandatory fields will be checked for content. If there are empty fields, they must be completed at that time. Otherwise, the version cannot be created. See Create Version.

Field Value is Dropdown List

It is sometimes useful to be able to enter more than one value for a field. This must be defined in the field set properties. See Set Field Properties.

Field Value is Visible but cannot be Altered

This situation can only arise if the field property Read Only is activated. See Set Field Properties.

Note: No history is kept of the entered values. For this reason it is not possible to view the previous value(s) of a field.

Modifying field value

Opening the right-click menu for the field gives you two options:

· With Edit value you can modify or replace the existing value.

· With Back to default the field will be reset to its initial value. This value is determined by the setting in "Default value" in the field administration. (See Set Field Properties).

Multiple Values and Multiple Languages:

The number of values for each language is the same. If you remove a value in one language, it will be removed in the other languages also. Before you remove the value, a warning will appear. If you create a new value, the other languages will be given an empty value.

Hyperlink Fields

Some fields may have been configured to show a URL. In such cases, you can right click on the field value (URL) and select the Show option. This can be useful so that you can see the actual URL that is being used as in some cases the field value is based on a Parameterized URL.

Once you click the Show menu item, you will see the following screen:

Here you can see the URL and copy it to your clipboard.
