Frequently asked questions about tasks

Tasks in Mavim help teams collaborate and distribute work. Sometimes questions or issues arise when working with tasks. Below are answers to the most common situations.

Why don’t tasks from a flow show up for some users?

Tasks created through a flow can only be assigned to users with at least the Contributor role.
Users with only the Subscriber role will not receive tasks from flows.

 

Tip: As a test, try creating a task manually on a topic. If this works correctly, the same task can also be assigned through a flow.


Why can’t I assign a task to certain users?

In the Create task window, the Assigned to field only displays users who are authorized to comment on the selected version.

 

Reasons why a user may not appear:

  • The user is not in the group that has access to the site or version.

  • The site is still in Approval status, which restricts access.

  • The user does not have the correct role to receive comments or tasks.


Why can’t I find certain tasks or notes anymore?

Tasks and notes are linked to the version where they were created. If that version is deleted, the associated tasks and notes are also removed.

Important:

  • Subscriptions remain active even if a version is deleted.

  • Tasks and notes stay available as long as a version is only set to Offline or Hidden.

  • Do not delete a version if you still need its tasks or notes.


Why does a user get a 403 error when opening a task from the input page?

 

Each task is tied to a specific topic within a specific version.
If that version has been set offline (for example, after a newer version was published), the link under Topic in the input page points to the offline version, causing a 403 error.

Solution: Click the icon under Latest instead. This opens the related process in the most recent version.
