How to limit publication visibility to specific user groups
If you want only certain users to access a publication in the Mavim Portal, you can restrict visibility by assigning publications to user groups. This article walks you through creating groups, adding users, and applying group permissions to publications.
Prerequisites
-
You must be logged in as a Portal Administrator.
-
Keep in mind: Publications without a group assignment will not be visible to anyone.
Step 1: Create a user group
-
Open the Portal and click the Dashboard button.
-
Than click on the 'Mavim Portal Administration' button.
-
Go to the Groups tab and click New.
-
Enter a group name under Name and add a description.
-
Click Update to save.
Step 2: Add users to the group
You can add users individually or in bulk.
Add a single user:
-
Go to the Users tab.
-
Find the user and click Edit.
-
Under Groups, select the group you created.
-
Click Update.
Add multiple users at once:
-
In the Users tab, select all users to add.
-
Click Edit.
-
Under Groups, choose the desired group.
-
Click Update.
-
In the confirmation screen, select Update groups, then click Select.
Step 3: Assign the group to a publication
-
Go to the Versions tab.
-
Select the publication (website version) you want to restrict.
-
Click Edit, add the group, and click Update.
-
Open the General tab, check Use groups, and confirm with Yes.
Now, only users in the assigned group can view the publication in the Portal.
Notes
-
After changing group rights, refresh the Portal with CTRL + F5 to apply changes.
-
When creating a new publication, the group rights from the previous version are automatically inherited.
