How to search in the Mavim Portal

Explain how to use the search function in the Portal, which fields are searched, and what results to expect.

Example setup

In version Processen 7002, the following items have been published to the Portal:
ProcessA – Relation to EmployeeA – Field link to EmployeeA – Internal file DocumentA
ProcessB – Relation to EmployeeB – Field link to EmployeeB – File DocumentB
ProcessC – Relation to EmployeeC – Field link to EmployeeC – Network file DocumentC

Using the search function

  • Click the Search button in the toolbar.
  • Enter your search term.
  • Define the search area:
    • Specific version (e.g., Processen 7002)
    • All versions
    • Branch
    • Topic

When choosing version, branch, or topic, a dropdown appears to select the exact scope.

Default search setting

The Portal Administrator can define the default search scope for all users in the Portal on the General tab > Search default

Search options

The following search options are available:

  • Descriptions

Searches topic descriptions, including topic names and topic fields.
Example: Searching for documentb in Processen 7002 under Descriptions 

shows 3 hits.

  • Text

Searches only the text content of topics.
Example: Searching for documentb under Text 

shows 1 hit.

  • Topic names

Searches only topic names.
Example: Searching for documentb under Topic names 

shows 2 hits.

  • Other search categories

Charts– searches diagrams
Matrices – searches matrices
Reports – searches reports
Fields – searches fields of topics
Keywords on documents – searches documents linked as File
Keywords on external documents – searches documents linked as Network file

Notes

  • Keywords added to topics can be searched by entering one or more keywords.

  • Multiple keywords can be separated by spaces and are case-sensitive.

  • If you link an empty file to a topic and add keywords, these keywords will not be searchable. Linked files must contain content for keyword search to work.
